What it is
When a call to your business goes unanswered, your phone system automatically sends the caller a text within seconds — something like “Sorry we missed you! This is Rapid Rooter. How can we help?” The customer replies by text, and the conversation continues instead of ending at voicemail.
Why it works
Most callers who reach voicemail don’t leave a message. A 2025 CallRail survey found only about four in ten do. But many of those same people will happily reply to a text, because it’s quick and doesn’t require them to wait on hold or call back. A text also proves you’re a real, responsive business — which is often the deciding factor for a customer comparing three options.
Example messages to copy
- Home services: “Hi, this is [Business]. Sorry we missed your call — we’re on a job. What can we help with? Reply here and we’ll get right back to you.”
- Dental or medical: “Thanks for calling [Practice]. We’re helping another patient right now. Reply with your name and what you need, or book online: [link].”
- Salon or med spa: “Hi! [Business] here — sorry we missed you. Want to book? Grab a time here: [link], or text us your question.”
- Restaurant: “Thanks for calling [Restaurant]! Book a table here: [link]. For catering or large parties, reply to this text.”
Rules that make it work
- Send it in under a minute. The value is speed.
- Use your business name. Unknown numbers get ignored.
- Ask one simple question or offer one link — not both plus a menu.
- Reply fast when they text back. A text back followed by silence is worse than nothing. An AI assistant can handle these replies automatically.
- Respect opt-outs and follow texting rules for your area (for example, honor STOP requests).
How to set it up
You need a business phone number that supports texting and a system that can detect missed calls — many CRMs (like GoHighLevel) and business phone apps can do this. The setup is: detect missed call → wait a few seconds → send text → notify you → log the conversation. SwiftByte can set this up on your existing number, usually within days.
When to go further
Text back recovers some missed calls. An AI receptionist recovers nearly all of them, because the call gets answered in the first place. Many businesses start with text back and add an AI receptionist once they see how many calls they were missing. See our missed-call text back service.
